Travel Operations System

Overview

A prototype operations system for Malaysian outbound and group-tour agencies. It connects one workflow: enquiry, costing and margin, quotation, booking, and group departure operations.

The challenge

Agency staff enter the same trip details again and again across WhatsApp, Excel, quotation documents, passenger forms, payment trackers, rooming lists and departure checklists.

The solution

The enquiry is captured once and reused at every later step. A pasted WhatsApp-style message becomes editable fields, which feed the costing, the customer quotation and then the booking without re-entry. Each group departure brings its passengers, payments, rooming and open tasks together, with a readiness percentage.

What was built

• Dashboard of active enquiries, quotations awaiting response, confirmed bookings, upcoming departures and outstanding payments
• Enquiry capture, including turning a pasted WhatsApp-style message into editable fields
• Cost and margin engine: supplier cost lines, selling price from a target margin, and passenger-count scenarios with a break-even estimate
• Quotation builder that keeps supplier costs and internal margins out of the customer version
• Quote-to-booking conversion that carries customer, trip, dates, travellers, price and itinerary across
• Group departures: passengers, payment tracking, rooming and a departure-readiness checklist
